Job Overview

This position is a member of the Direct Response Marketing team and is responsible for assisting and supporting day-to-day operations of our direct response marketing programs – direct mail, mid-level, DRTV, digital direct marketing, international fundraising – and different aspects associated with the department including internal operations, multiple call centers, mail processing centers, providing support to donor services staff and philanthropy location staff. The Direct Response Marketing Coordinator works closely with the Direct Response Marketing team with various departmental administrative tasks and reviewing and ensuring the accuracy of invoices related to the direct response marketing programs. The candidate must have organizational, analytical skills and be able to multitask with attention to detail. This position will also include some travel as needed for, but not limited to, operational visits to our mail processing centers and attending meetings with various fundraising vendors. This position will report to the Manager of Direct Response Marketing.

 

This is a hybrid position based in the Greater Tampa Bay area with a mix of onsite and remote work each week. 

Responsibilities

  • Direct Response Marketing Programs - Assist the Direct Response Marketing team on the day-to-day administrative operations of all direct marketing programs. This includes but is not limited to assist in analyzing different campaigns for improvement areas then implementing those changes, translation of different communication pieces to Spanish, facilitate weekly calls with our fundraising vendors/call centers, review/update direct marketing content for accuracy and track our annual budget.
  • Invoice Review - Thoroughly review and compare direct marketing/operational invoices to concept memos to ensure they align with the approved scope of work, budget and deliverables. Address discrepancies, overcharges, or duplicate submissions and work closely with accounting and fundraising vendors to resolve issues promptly. Make decision on which invoices should proceed to the next level approver and code invoices to corresponding PO numbers in invoices database. Organization and attention to detail is crucial.
  • Administrative - Assist the Direct Response Marketing team with various administrative tasks including but not limited to, scheduling internal and external meetings with philanthropy staff and fundraising vendors, coordinate in-person and virtual meetings with agendas and take detailed meeting notes, ensuring accuracy in documenting decisions, action items, and follow-up tasks.
  • Supply Orders - Manage the ordering and inventory levels of supplies and equipment needs for Direct Response Marketing team. Process and maintain purchase orders for supplies and equipment for budgeting purposes. Work closely with Supply Chain to ensure the timely procurement of materials at the best possible prices and delivery.
  • Donor Services - Assist Direct Response Marketing team in gathering content from various philanthropy departments for monthly departmental eNewsletter. Field calls/emails from donors and philanthropy staff regarding our direct marketing programs. Support with updating donor materials and brochures.

Qualifications

Required:

  • 3-5 yrs of demonstrable direct response marketing experience, including an established record of marketing, administration or operations experience
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Teams), CRM database, project management tools, and invoice management software
  • Bilingual English/Spanish required
  • High School Diploma/GED

  • Bachelor's Degree
