Job Overview

Shriners Children's Portland is currently seeking a full time, organized, driven, and highly professional Executive Assistant. This position is responsible for the direct administrative support of the Administrator, Director of Patient Care Services and the Board of Governors.  Maintains calendars, makes travel arrangements, coordinates schedules, attends meetings and composes minutes and other correspondence as directed.  Assists with special projects, answers questions, directs employees, visitors and patient families and other constituents to appropriate resources.  Maintains confidentiality with sensitive business communications.

Responsibilities

  • Responsible for typing correspondence and Board information for Chairman of Board and acquires Board Chairman's signature as needed.
  • Coordinates meeting and special activities for Board of Governors.
  • Provides liaison support between Board of Governors, Administration and departments.
  • Answers incoming phone calls courteously, dispatching calls as appropriate and taking accurate message information. Initiates and maintains filing systems allowing for easy document retrieval.
  • Prepares correspondence for Administrator and Board Chairman in an accurate and timely manner.  Meeting minutes are accurately transcribed and distributed within ten working days of each meeting.
  • Makes airline, hotel and rental car arrangements for the Administrator and Board Chairman as needed.
  • Maintains the Administrator's calendar with necessary daily appointment/meeting information.
  • Ensures accurate and timely submission of a variety of monthly and yearly administrative reports; the Administrators Performance Forms (i.e. six month performance evaluation, self evaluation and annual performance evaluation).

Qualifications

Required

  • 3-5 years Administrative Assistant/Clerical experience
  • Excellent communication and follow-through skills

Preferred

  • Associate related field
  • Bachelor related field
  • Executive level administrative experience and/or senior executive support position preferably within a hospital setting
  • Exceptional organizational and office skills (MS Word, Powerpoint, Excel)
