The Planned Giving Coordinator collaborates with the Planned Giving team leadership to ensure the success of the planned giving program. This position is responsible for supporting various aspects of the day-to-day operations of the planned giving team. The Planned Giving Operations Coordinator is responsible for consistently delivering first-class service to donors through handling donations, donation inquiries, and requests.
Planned Giving
• Update all donor biographical information as needed in CRM with supporting documentation; scan and upload to Paper Save (for example, returned Stelter pieces).
• Ensure donations are correctly coded, processed, and entered CRM promptly
• In partnership with other Planned Giving Operations team members and Prospect Research Management, review and assign planned giving leads to fundraisers, ensuring the referrals are appropriately documented in CRM.
• File all donor and gift paperwork appropriately, including but not limited to CGA applications and signed copies.
• Maintain vault inventory.
• Scan and review copies of checks that are directed to Planned Giving or a member of the Planned Giving team for the Specialist to review for deposit.
• Organize and maintain the Planned Giving team’s files and records in network drives, for example, expense reports, shipping invoices, print shop orders, etc.
• Review reply cards scanned into Arch-e and ensure they are saved correctly in CRM and Paper Save.
• Review check batches forwarded from Donor Relations; correct any discrepancies relating to Planned Gifts, and advise Data Entry on the next steps if needed.
Operational Support
• Open and sort all planned giving mail for further handling. This includes copying, scanning documents into PaperSave, and distributing to the appropriate team member.
• Working in collaboration with the Planned Giving Specialist, answer the departmental phone line and routinely check voicemail. Assist donors and their representatives as needed and direct callers to the appropriate individuals and departments. Document calls and voicemail messages in CRM record as interactions.
• Provide administrative support for the Directors of Planned Giving.
• Assist the Planned Giving Specialist as needed to monitor and respond to emails to the departmental email account, fulfill requests, and forward emails to the appropriate individual(s)/department(s) as needed. Document emails in the donor’s CRM record as interactions.
• Working in collaboration with the Planned Giving Specialist, create, maintain, and ensure the integrity of donor records in CRM, including all donor biographical information and solicit codes. Scan and upload documents to PaperSave as needed.
Other
• Assist the Planned Giving Specialist with office supply orders and print shop requests as needed.
• Assist in maintaining a strong, collaborative, and positive partnership with the Planned Giving Operations team and other Office of Philanthropy teams to help ensure fundraising goals are met.
• Remain current and knowledgeable in planned giving trends and best practices.
