Job Overview

Under the direct supervision of the Corporate Manager of Clinical Service Line Development, this position provides administrative support for the Vice President of Affiliates and Strategy and department level support for Planning & Business Development and Payer Relations. In addition to typing, filing and scheduling, performs duties such as coordination of meetings, assisting with conferences, arranging travel, obtaining supplies, coodinating mailing and working on special project assignments. This position interacts with a diverse group of external and internal stakeholders at all levels of the organization. Independent discernment to prioritize planning, organize workload and recommend changes in practices or procedures is required.

 

This position will be a hybrid role, working four days working in-office and one day remote.  This schedule may change based on department needs.

Responsibilities

  • Schedules and coordinates conference calls and meetings as requested by VP Affiliates and Strategy; maintains all meeting documentation; and prepares accurate, timely agendas and minutes. This includes coordinating meetings with external and internal stakeholders at varying levels of leadership.
  • Support meetings led by department and matrix leadership. This includes coordinating meetings with designated work groups, task forces, teams, corporate staff, and system leadership. Develops agendas in collaboration with the meeting chairperson. Manages onsite meeting setup, refreshments, and attendee communications, and producing conference materials, handouts, and consolidated presentations.
  • Fluent in software programs utilized by the department and becomes a resource for its use, utilizes software to further streamline processes. Creates spreadsheets, presentations, reports and comments via software.
  • Coordinates department mailings including printed materials for physician liaisons.
  • Supports travel scheduling for VP Affiliates and Strategy—including registrations, hotels, and air travel—and completes expense reports for signature.
  • Manages department purchase orders and office supplies.

Qualifications

Required:

  • 5 yrs of administrative assistant experience
  • Experience with administrative / clerical procedures and systems such as computer work, managing files and records, designing forms, and other office procedures and terminology.
  • Experience with MS Office Suite and other appropriate software packages and technical collaboration tools (i.e., Adobe, MS Teams)
  • Experience with data compilation into reports, including charts and graphs
  • High School Diploma / GED

 

Preferred:

  • 5 yrs of administrative assistant experience in healthcare
  • Associates Degree
